Company Overview: Our client is an esteemed legal firm, and we are currently seeking a dedicated Legal Secretary to provide invaluable support to their dynamic legal team.
About the Role: Join our clients’ dynamic legal team as a Legal Secretary and be at the heart of their success. Beyond traditional administrative support, you will play a pivotal and multifaceted role in ensuring the efficient functioning and triumph of their legal practice. Your contributions will span diverse tasks, all geared towards supporting the legal team and maintaining the operational integrity that sets their legal firm apart.
Duties and Responsibilities:
Document Preparation: Draft and prepare legal documents, including pleadings, briefs, contracts, and agreements. Ensure accuracy and adherence to legal guidelines.
Calendar Management: Manage attorneys' calendars, schedule appointments, court dates, and deadlines. Coordinate and confirm meetings and hearings.
Communication: Facilitate communication within the legal team, clients, and external parties. Answer and screen phone calls, respond to emails, and handle routine correspondence.
Filing and Organization: Maintain and organize legal documents, case files, and correspondence. File documents with the court and other relevant entities, ensuring compliance with filing deadlines.
Legal Research: Conduct legal research to support attorneys in case preparation. Summarize findings and present relevant information.
Client Interaction: Interface with clients to gather information, provide updates on case status, and schedule appointments. Maintain a professional and client-friendly demeanor.
Administrative Support: Provide general administrative support, including photocopying, scanning, faxing, and managing office supplies. Assist in billing and timekeeping activities.
Court Filings: Prepare and file legal documents with various courts. Monitor and track case filing deadlines.
Confidentiality: Maintain strict confidentiality regarding client information and legal matters.
Meeting Coordination: Arrange and coordinate meetings, conferences, and depositions. Prepare necessary materials and ensure all logistical aspects are in order.
Qualifications / Requirements:
Excellent written and verbal communication in both Greek and English.
Proficiency in MS Office and computer skills.
At least 3 years prior experience as a legal secretary.
Knowledge of legal databases like Lexis-Nexis will be considered an advantage.
Strong time management and project management skills.
Attention to detail and meticulousness in all tasks.
Ability to work well under pressure.
